LEADON VALE CYCLING CLUB (LVCC) – DATA PROTECTION AGREEMENT

Leadon Vale Cycling Club will hold member details entered during registration to the club web site (www.lvcc.club). In the event of an emergency, relevant details can be accessed by authorised officers of the club. It is important that members amend their registration details should they change. Our club year commences on 1st October, any members who have not renewed by the following 31st December will automatically have their details deleted.

The data we may hold is; name, postal address, telephone number (mobile & landline), email address and date of birth. This data is held securely on the LVCC database, which is only accessible to nominated members. We do not share this data with any third parties.

Officers of LVCC will have access to member’s email address and mobile phone number. This data is used to communicate with members concerning club news.

Nominated members act as a “Contact” and have access to all member’s phone numbers. All members will be issued with the Contact’s mobile numbers. If anyone needs a member’s phone number due to an event on a club ride they can call a Contact who will be able to pass on the information.

Members take photographs during rides and some may be posted on the LVCC website. If any member does not wish to feature, they should advise the photographers on the day. If they appear in error in photos, this will be corrected by the webmaster as soon as possible after advice is received.

Please advise the committee now or in the future if you do not agree and wish your details to be deleted.

CLUB RULES

  1. The Club year commences 1st October. Membership costs £15 per annum.

  2. Will have a predetermined start time and route to be communicated to all participants.

  3. All participants will comply with the Highway Code.

  4. All adult participants are responsible for their own well-being during the ride and should be prepared for situations such as adverse weather conditions, mechanical problems and punctures.

  5. Riders will be allowed to take part on a “guest” basis for up to three rides only in any Club year, further rides being dependent on achieving member status. A maximum of ten “guests” may participate in any ride.

  6. A Ride Leader will be appointed for each ride and will have a duty of care towards the riders and ensure as far as reasonably practicable that the safety and enjoyment of all participants and the public has been taken into account in the organisation of the ride.

  7. The Ride Leader will be responsible for ensuring that individual riders are not left on their own during the session.

  8. The Ride Leader will assume responsibility for emergency procedures for incidents that riders may experience during a ride (e.g. punctures, mechanical problems, changes in environmental conditions, accidents involving one or more members of the group).

  9. The Ride Leader will make sure the riders on the front clearly pass on indications of hazards and that all riders have a safe technique and equipment.

  10. In the event of a necessary stop, the Ride leader will choose a safe place to stop as a group, warn riders before stopping and keep the carriageway clear.

  11. All riders will be encouraged to take part in activities that are within their capabilities.
  12. All riders are advised to wear a helmet.
  13. Junior Riders – at this time there is no Junior  Section and under 18s are not able to ride with the club. Rules  N & O are currently obsolete.
  14. All riders must be aged 14 years or older. Junior membership is available to riders aged between 14 & 17 subject to parental approval. Riders aged between 14 & 17 years must be able to produce proof of having passed Level 2 Cycle Training Standards (or equivalent) and/or be assessed by an official(s) of the club.

  15. Signed parental consent forms must be in place for all riders under the age of 18 years and if such riders participate in a Club ride they should be accompanied by a parent or guardian as the Club cannot accept any greater degree of responsibility for them than other riders if unaccompanied.

    EBIKES

    LVCC recognizes the growing popularity of e-bikes as a way of keeping fit and prolonging the joy of cycling and accepts e-bikes on club rides as long as they comply with UK law (250W maximum and speed limited to 15.5 mph), are peddle assist only, and that e-bike riders adhere to the rules and riding etiquette of the club. In particular:

  16. E-bikes are restricted to the LVCC Scenic and Intermediate rides. Riders should ride at the same pace as the other riders in the group and not faster than they can safely control the bike. It is considered bad form to accelerate pass the group on climbs.

  17. E-bike riders must ensure they have sufficient battery range to complete the ride with the group.

IN CASE OF EMERGENCY PROCEDURE

It is the responsibility of each individual member to carry the following information when riding with the club;

    • Emergency Contact name & phone number

    • Details of any relevant medical conditions

Most mobile phones have an “emergency” option whereby anyone, without knowledge of security details can access emergency details entered by the owner.

Additionally, all members can request a Leadon Vale CC “Emergency Details” card that they should carry on all club rides.
